About the Role
We’re looking for a Business Assistant to support the Chief Product & Technology Officer and Product & Technology (P&T) leadership team. The Product & Technology team is the largest within Dotdigital with 200 members, and growing, they’re all remote in many locations around the world. We need someone who can work alongside the P&T leaders to support the day to day administrative and operational activities.
This role will require you to be in our London Bridge office once every few weeks and for events.
Primary Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the CPTO and Product & Technology Team leaders, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Communication: Act as a liaison between the CPTO, team leaders, customers, partners, investors and other departments, ensuring clear and timely communication.
- Event Coordination: Plan and coordinate team events, meetings, and other activities.
- Project Management: Assist in the planning, execution, and monitoring of projects, ensuring deadlines are met and deliverables are of high quality.
- Documentation: Prepare and edit reports, presentations, and other documents as needed.
- Data Management: Maintain and organize data, files, and records, ensuring easy access and retrieval.
- Research: Conduct research and gather information to support decision-making processes.
Tasks:
- Collection of monthly MI data from P&T leaders and amalgamation into monthly reporting pack for distribution to the Leadership Team
- Organising of multiple quarterly anchor days for the P&T team mainly in the UK but also including some of the international events.
- Assisting and setting up of the annual hack week event at Christmas and Innovation week in the Summer period.
- Set up and management of P&T leadership monthly leadership team meetings including Quarterly Business Review (QBR) meetings
- Tracking and chasing of team time tracking process
- Setting up of Dotgreen meetings and assisting with annual Streamlined Energy and Carbon Reporting (SECR) & regulatory reporting.
- Assist of CPTO and team on presentation building and social post amplification.
- Assist in travel scheduling and booking for CPTO and P&T leaders where required
- Coordinate and streamline invoicing processes to optimize efficiency, ensuring accurate credit card usage, timely invoice sharing, and improved organization of tasks related to invoicing.
- Assist in organizing department hiring, focusing on coordination and tracking of approved headcount numbers and accurate record-keeping
- Assisting with the chasing on mandatory compliance related training activities
- Assisting other Dotdigital company wide community activities and events where required
- Other ad-hoc projects & tasks as and when required
Salary range: £32,500 to £40,000
About You
Skills and Experience Required:
- Experience: Minimum of 3 years of experience in an administrative or business support role, preferably in a fast growth technology or product development environment.
- Education: Ideally a qualification in Business Administration, Management, or a related field.
- Technical Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and project management tools (e.g., Monday.com, Trello).
- Communication Skills: Excellent verbal and written communication skills.
- Organizational Skills: Strong organizational and time management skills, with the ability to prioritize tasks, co-ordinate events and manage multiple projects simultaneously.
- Problem-Solving: Ability to think critically, do some data analysis and solve problems efficiently.
- Interpersonal Skills: Strong interpersonal skills, with the ability to work effectively with diverse teams and stakeholders.
- Attention to Detail: High level of accuracy and attention to detail.
